Poinciana Seaside Resort & Retreat Centre (“Poinciana”, “we”, “us”) is committed to protecting the personal information of our guests, retreat participants and website visitors.
This policy explains what data we collect, how we use it, and your rights in relation to that data. If you have questions, please contact us directly at info@poincianaresortbali.com.
When you make a booking, send an enquiry, or contact us, we may collect: your name, email address, phone number, arrival and departure dates, number of guests, and any special requests or retreat requirements you share with us.
When you visit our website, standard technical data, such as browser type, device type and approximate location (country or region level only), may be collected automatically by our hosting provider and analytics tools.
We do not collect payment card numbers directly. Any payment processing is handled by third-party providers under their own privacy policies.
We use your personal information to process and confirm reservations, respond to enquiries, coordinate retreat logistics, and communicate relevant information about your stay.
We may occasionally send updates about Poinciana, such as availability, seasonal offers or retreat programmes, if you have expressed interest or made a previous booking. You can opt out of these messages at any time by replying or emailing us.
We do not sell, rent or trade your personal data to any third party for marketing purposes.
We may share your data with trusted service providers who assist us in operating the resort, including booking platforms (such as Booking.com), payment processors, and communication tools such as WhatsApp Business.
These providers are required to handle your data securely and only for the purposes we specify. They are not permitted to use it for their own marketing.
Our website uses Google Analytics to understand how visitors find and use the site, and only if you accept analytics cookies. Google Analytics gives your browser a randomly generated identifier so that returning visits can be recognised, which means the data is not fully anonymous. We do not use it to identify you, and we do not combine it with your booking records. Google uses your IP address to work out an approximate location and does not store it.
We retain booking and communication records for up to five years for accounting, legal and operational purposes. Website analytics data is retained for 14 months, which is the period we have set in Google Analytics.
If you request deletion of your personal data and there is no legal obligation requiring us to retain it, we will action this within 30 days.
You have the right to access the personal data we hold about you, request corrections to inaccurate information, ask us to delete your data (subject to legal retention requirements), and withdraw consent for marketing communications at any time.
To exercise any of these rights, write to us at info@poincianaresortbali.com. We will respond within 30 days.
If you are based in the European Economic Area or the United Kingdom, you also have the right to lodge a complaint with your local data protection authority.
Our website uses cookies, which are small text files stored on your device. Cookies that are needed to make the site work, such as those used by the enquiry form and its spam protection, are set without asking, because the site cannot function without them.
Analytics cookies work differently depending on where you are. If you are in the European Economic Area, the United Kingdom or Switzerland, nothing analytics-related is stored or sent until you answer the banner. Everywhere else, analytics starts when the page loads and the banner lets you switch it off; declining stops any further analytics immediately, although a cookie already placed stays on your device until it expires or you clear it yourself.
Either way, the banner appears on your first visit and you can change or withdraw your answer at any time using the “Manage consent” button at the bottom of any page. The site works exactly the same whichever you choose. Our Cookie Policy lists every cookie by name and how long it lasts.
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review it periodically.
Where a change affects something you have consented to, such as analytics cookies, we will ask you again rather than treat continued use of the site as your agreement.
For any questions or requests about your personal data, email us directly. We will respond within 30 days.
